As an international student renting in Malaysia for the first time, I had a terrible experience with Urban Room when trying to get my deposit refunded. They lack a coherent system for handling refunds to international students. When I first enquired about the move-out process, I was told the deposit could only be refunded to a Malaysian bank account. This was absurd given that many of their tenants are international students, and there was no mention of this requirement in the tenancy agreement.
I explained that I didnāt have a Malaysian bank account and couldnāt open one due to my short remaining visa period; neither had Urban Room informed me during the contracting process that I would need one. After raising this, I received no updates for many days until I decided to post a Google review describing my experience. Within half an hour of posting the review, they finally responded with an update on my refund status.
They told me they could refund the deposit to my home bank account but would deduct a 5% āservice fee.ā This was completely unreasonable, as there was no mention of such a charge in the tenancy agreement, nor is it a legal requirement. The agreement clearly states that I am an international student and that the deposit should be refunded within 30 working days, free of interest. However, I was effectively forced to accept this 5% deduction because they essentially would not process my refund otherwise.
A month after moving out, I received another message informing me that the service fee would now be 8%, not 5%. I initially assumed this was a bank or money transfer fee, but it turned out the charge was imposed by the CFOās friend, who lives in my home country. Since the CFO himself didnāt have a bank account there, he decided to use his friendās account for the transfer and justified the higher fee as a āservice charge.ā This was completely unprofessional and unethical. At one point, I was told that the CFOās brother would be doing the transfer and at another, I was told his friend was handling the transfer, showing a complete lack of transparency and consistency.
Despite my objections, the CFO insisted on the 8% deduction, claiming he hadnāt confirmed the rate with his friend earlier when quoting 5%. This is hard to believe and, frankly, not my problem. Urban Room had my deposit and a legal duty to return it as per the tenancy agreement. Instead, they made me feel pressured into accepting a situation that clearly wasnāt fair or justified.
The issue isnāt just the unreasonable increase in the service fee; itās the lack of professionalism, transparency, and accountability throughout the entire process. They made it seem as though they were doing me a favour by refunding money they were legally obligated to return. Itās unacceptable for a rental company to treat tenants this way, especially international students who already face additional logistical challenges.
They are quick and efficient when collecting deposits and booking fees, but incredibly slow and disorganised when it comes to refunds. If I were able to pay the deposit to a Malaysian account without having one myself, I donāt understand why a company canāt find a proper system to refund international tenants. If they are unable to do so, they should not be renting to international students at all. Even if some transaction costs are involved, they should be borne by the company, not the tenant, especially when none of these fees were disclosed in the tenancy agreement or mentioned beforehand. I had already paid my own transfer and service charges when sending the deposit, so charging me again is unjustifiable.
Overall, my experience with Urban Room has been extremely disappointing. The process lacked transparency, professionalism, and basic customer care. I shouldnāt have to chase a company for weeks to receive money that is legally mine. To any international student considering renting from Urban Room, I strongly advise against it. The entire process was completely free of a sales-like feel and the communication was very comfortable. On the day of the house viewing, the real estate agent arrived early to wait for me. He also gave a detailed introduction about the house, including the neighborhood environment, property services, transportation routes, the locations of nearby supermarkets and subway stations, and even told me the opening hours of the breakfast shop downstairs (laughing). The house was exactly the same as the photos, clean and tidy, without any unpleasant smell, and there was no false advertising. After making the decision to rent, the signing process was also very formal. The contract terms were clearly explained, and there were no hidden charges or unauthorized deposit collection. The entire process made me feel very at ease. After moving in, the agency even called back for a follow-up visit to inquire about the living situation and whether there were any issues that needed to be resolved. The water, electricity and gas bills are settled on time. The neighborhood is quiet and safe. Compared to all the troubles I encountered when looking for a house before, this experience can be described as very smooth and pleasant. Because of this other tenant dont want to rent and since agent does not want to take matter and shove to me . i need to pay her booking fee which is rm 800. Unreasonable and completly unsatisfied all due to some clauses in agreement stating that not keeping clean will result in termination of contract. Which i already mention was not on purpose and i also did not notice ( also directly clean it after the unit coordinator contected me without any delay but still i was forced and mention to either pay or terminate contract and threaten to get sue because of not cleaning the toilet which i imply again was not on purpose because me myself also did not notice it and directly clean without any reason. Please help me as i wanted a peacefull life renting at from you guys but this treatment really make me doubt myself and stress wanted to move out but due to high deposit money i was desperate.
